Ovarian Cancer Canada
Data Automation
Our goal was to take a tedious, manual process off Ovarian Cancer Canada’s plate and replace it with a seamless, automated system. Two of Ovarian Cancer Canada’s most popular WordPress forms were generating a steady stream of email sign-ups, but every week the OCC team had to log in, pull a spreadsheet of new leads, and upload it to Luminate Online (LO) just to trigger their welcome series.
We set out to build a direct connection between WordPress and LO so that every new supporter would flow instantly into the database and receive the welcome emails—no downloads, no uploads, no delays.

Our Solution:
Two Forms, Two Paths to Automation
Because each of Ovarian Cancer Canada’s forms was built with a different WordPress form builder, there wasn’t a single fix. One lived in Gravity Forms (GF), the other in Formidable Forms (FF)—so we designed two tailored solutions that ultimately delivered the same seamless result.
Resource Guide Request Form - Gravity Forms Integration
The Resource guide request form gave us the easier win. Gravity Forms offers an add-on that integrates directly with Luminate Online (LO).
After whitelisting the WordPress site in LO and adding the API credentials to the plugin, we could map every key field—first name, last name, email, address, and language—straight to LO Constituent 360 fields.
With a few clicks, each new submission now creates a constituent profile and adds the supporter to the correct LO Group, automatically triggering the welcome email series.
Understanding Your Risk Form - Formidable Forms Workaround
The Understanding Your Risk form required more creativity. Formidable Forms doesn’t have a ready-made LO integration, so we built a bridge to Gravity Forms:
- Bridge form: We created a lightweight Gravity Form containing only the important information to send to LO.
- Hidden embed: This bridge form was quietly embedded on the same page as the Formidable form.
- JavaScript hand-off: Using Formidable’s native merge tags, a small JavaScript snippet captures the important fields once the FF form is submitted and passes it to the hidden Gravity Form, which then sends the data to LO.
- Backend cleanup: To prevent old FF entries from piling up, we wrote a custom WordPress plugin that automatically deletes submissions older than a set number of days—keeping the site lean and automated.
Project Highlights
Significant time savings
Automated integrations eliminated weekly manual exports, giving the OCC team back hours every month.
Instant onboarding
New supporters are added to Luminate Online the moment they sign up, triggering the welcome series right away for consistent, timely touchpoints.
Richer supporter data
Beyond email addresses, the sync captures first and last name, mailing address, and language preference—strengthening segmentation and personalization.
As a result, both forms now feed directly into Luminate Online in real time, meaning Ovarian Cancer Canada no longer needs to pull weekly CSVs or manually upload leads. Every new supporter is added to the database and welcomed within minutes of signing up—saving the team hours of ongoing manual work and freeing them to focus on higher-level strategic tasks.

- International Medical Corps (IMC) has the goal of growing their recurring giving program. As an organization that responds to emergencies around the world, having a strong base of recurring donors helps them plan ahead, act quickly, and maintain support even when the news cycle shifts. They knew there were donors in their database who would likely say yes to a monthly gift—they just needed a better way to find them and communicate with them.
- The Coast Guard Foundation wanted to close out the year by helping supporters clearly see the real-world impact of their generosity—beyond a single donation or campaign. Their goal was to launch MyImpact, a personalized experience that connected donor giving to tangible outcomes like scholarships, rescues, and family support, while setting the stage for stronger engagement in 2026 and beyond.
- Richstone Family Center depends on volunteers to support many of its programs, but their screening process involved a lot of manual work. Staff had to read through every application, figure out where someone might be a good fit, note any concerns, and then follow up to schedule interviews. It was effective, but time-consuming for Richstone staff, and it slowed down how quickly new volunteers could get involved.
